conference assistants in group photoThe Office of Events & Conference Services is seeking key individuals to fill the positions of summer Conference Assistants. As a member of the summer Conference Assistant Team, students are frontline ambassadors of Manhattan University who greatly contribute to each guest's experience and the overall success of our summer program.

In addition, these roles provide an excellent hands-on learning opportunity for young professionals to work on their customer service, teamwork, management, problem-solving and interpersonal skills.

These positions are only open to Manhattan University students who are enrolled for classes or graduating in May 2025.

  • About the Conference Services Summer Program

    Annually during the summer conference season of mid-June through mid-August the Office of Events & Conference Services operates as a fully functioning conference center inclusive of providing overnight accommodations, custom meal plans, private catering and rental of meeting facilities to the internal and external community. Clients range in group size from a handful to hundreds of guests with dreams of experiencing the bright lights of New York City while returning to the accessible and nestled community of Manhattan University. Although some guests are U.S. natives, a majority of our guests come from all over the world and vary in age from teens to adults.

    As a member of the Conference Assistant Team you are an ambassador of Manhattan University and greatly contribute to our guest's overall experience. The Conference Assistant Team is responsible for supporting the day-to-day operations on campus by executing three main areas of our client’s pre-assigned program: housekeeping, meeting facilities, and customer service relations. Duties include preparing for guest arrival in the residence halls, facilitating room layouts in multipurpose event spaces all while providing great customer service from initial guest check-in throughout guest departure. The Conference Services summer program provides an opportunity for Manhattan University students to develop a quality work ethic while enjoying working with fellow students and campus resources.

Please note: Team Leaders will need to be available the week of Monday, May 12, 2025 for Team Leader training and the week of Monday, August 11, 2025 for conference season closeout.

Job Descriptions

Two position types are available: Team Leader and Conference Assistant. Each position is a seasonal, full-time position that offers different responsibilities and requirements. Please indicate on your application which position you are applying for.
  • Team Leader
    • Team Leaders will receive pay for assigned/hours worked and free campus housing in addition to a meal plan 
    • Typical work schedule includes 35 - 40 hours per week as assigned. Additional hours maybe allocated based on demand.
    • Required to perform all tasks listed for a Conference Assistant with additional supervisor responsibilities
    • Strong leadership qualities and comfortable leading a group of peers
    • Attention to detail and strong organizational skills  
    • Ability to communicate clearly and professionally
    • Operational knowledge of Microsoft Office and willingness to learn and operate conference services software
    • Flexibility to handle a variety of assigned responsibilities
    • Develop and lead training programs for the Conference Assistant Team
    • Ability to delegate tasks and follow through on task completion
    • Manage and control inventory of all Conference Service items (linen, equipment, supplies, etc.)
    • Available to work nights, weekends, holidays with a flexible schedule
    • Provide great customer service to clients with the ability to troubleshoot issues that arise
    • Lead by example through a positive, get-it-achieved attitude
    • Daily reporting to the Office of Events & Conference Services Management Team
    **Employment period: Tuesday, May 20, 2025 - Saturday, August 9, 2025. All Team Leaders are expected to be available for work between these dates. Available to work nights, weekends and holidays as needed. Team Leaders will need to be available the week of Monday, May 12, 2025 for Team Leader training and the week of Monday, August 11, 2025 for conference season closeout. This training schedule will be coordinated based on each Team Leaders final exam schedule to ensure there are no conflicts with academics.
  • Conference Assistant
    • Conference Assistants will receive pay for assigned/hours worked and free campus housing in addition to a meal plan 
    • Typical work schedule includes 30-35 hours per week as assigned. Additional hours may be allocated based on demand
    • Attend and partcipate in required training sessions
    • Maintain cleanliness of residence halls from guest departure to arrival through housekeeping activities (removing trash and dirty linens, cleaning bathrooms and rooms, mopping floors, cleaning surfaces, making beds and placing down clean linens and supplies)
    • Regularly conduct inventory of linen, furniture, and equipment
    • Facilitate the setup and breakdown needs of tables and chairs for meeting facilities in accordance with room diagrams. This also includes the overall cleaninless, setup, onsite assistance, and breakdown of audiovisual equipment in each meeting venue. 
    • Greet guests upon arrival for check-in and farewell upon departure
    • Ensure the success of conference events via onsite presence and providing great customer service and support
    • Maintain organization of dining locations and the flow of guest traffic
    • Ensure COVID protocol compliance (if necessary)
    • Represent Manhattan University as an Ambassador for conference guests
    • Ability to problem solve in a fast paced environment
    • Able to work independently while also working well in a team environment  
    • Ability to multi-task and quickly adapt to last minute requests
    • Offer suggestions on program implementation and suitable efficiencies  
    • Ability to lift between 20 - 30lbs is required
    • Operational experience with computers and audio/visual is a plus. Training will be provided for those who are not familiar with the equipment.
